A customer database is a system that contains customer names and useful
information about them, like their address and account history. A good customer
database can help you save money, boost response rates and raise your profit
margin. An inaccurate one can do just the opposite. We have several ways to
ensure your mailing database is in mint condition.
Clean up your address data. Is your business getting
returned mail? If so, you should stop wasting money on bad addresses and start
cleaning up your mailing lists.
If you're mailing only to addresses in your house (internal)
list, your information is probably up-to-date. Your best customer resource, your
house list, is a collection of name and address records of your past and present

Keep customer addresses standardized. Address
standardization is a computerized process that makes sure your mail pieces will
be read accurately by the U.S.P.S.
Catch more address changes with help from the National
Change of Address. If Mrs. Public moved, would you still mail to her at her
old address? Not on purpose. But what if you knew Mrs. Public's new address
before your mail is sent? That’s what the National Change of Address (NCOA)
program can do for you.
To help mailers reduce undeliverable or duplicate mail pieces,
the NCOA database provides them with address information from people and
businesses that have moved within the past 48 months.
Merge/Purge to optimize your lists. Now that your
addresses are standardized, you can search for duplicate records and stop
mailing to the same person over and over.
Merge/purge (combine and omit) is the process of combining two
or more mailing lists to identify and eliminate duplicates. This process is also
used to get rid of “nixies” – mailings returned by the U.S. Postal Service®
with notations such as “No longer at this address.”
